Building Use Information

Our school buildings are more than just places of education, they are centers of the community. Schools are used as voting locations, meeting places, and recreational centers. Our buildings and athletic fields are available for community use, as well.

 

COVID-19 HEALTH COMPLIANCE REQUIREMENTS

Health Orders

Those seeking to obtain a building use permit are expected to comply with all local, state, and federal health orders related to the COVID-19 pandemic. Those orders can be found at the following sites:

 Jeffco School Requirements

 Recreational Sports

JPS is allowing only outdoor recreational sports use with no building access; indoor recreational use will be revisited later in the semester. 

Organizers are responsible for operating pursuant to/enforcing the Public Health Order (currently 20-28 with Jeffco variances) as respects their activity.  As the order changes, so should the operation.  Events will be routinely monitored by Jeffco Public Schools for compliance and lack of following public health orders and guidance may result in loss of future rentals. Jeffco Public Schools has the right to cancel or revoke any event at any time due to public health conditions changing.

If the organizer learns that a participant or coach is positive or presumed positive for COVID-19, or a member of their family is positive or presumed positive for COVID-19, they will let the district know through the school administration.

Other activities (outdoor events only permitted at this time)

Beginning September 2020, due to public and private gathering limitations associated with COVID-19 and Jefferson County Public Health Orders in place, the following protocols are required to be asserted by renting organizations renting any outdoor facility from Jeffco Public Schools:

  • No gatherings outside in one setting at one particular time may exceed 75 people.
  • Families and household members must socially distant from other families and household members
  • All spectators are required to wear masks at all time when outside personal vehicles.
  • No tailgating or congregation in parking lots before or after the event.

These requirements will be upheld and expected from all renting organizations. It is the renting organization’s responsibility to understand, communicate, manage and enforce this message to all spectators and participants.

Application Process
  • Print a copy of the Building and Facility Use Request Form and the Building Use Designee Checklist. Print one for each facility you wish to use.
  • Completed forms must then be submitted to the office staff at the requested facility for approval and scheduling.
  • The District's General Accounting office will email the facility user an agreement, which does require insurance information and an electronic signature. The facility user has five business days to electronically sign the agreement. Please email insurance information to Building Use
  • The agreement serves as the facility users permit. 
  • All facility users and/or their representative must have their copy of the approved agreement with them when occupying the facility.
  • If the facility will not be used for any of the approved times, notify the school and General Accounting 24 hours in advance.
  • General Accounting will email the facility user monthly invoices.

 

Fees

Fees will be assessed for use of school facilities and equipment in accordance with District Policy KF.

Invoices will be emailed to the email address listed on the agreement.

Special Events and Fire Safety

Please read the fire compliance requirements provided by Risk Management.

This document is not inclusive of all safety requirements incumbent on the facility user, please consult with the school, the Risk Management Department, or the Fire Department if you have any additional concerns.

 

Liability Insurance

Liability insurance may be required for events held in Jeffco Public Schools. Private event insurance can be obtained through the Tenant Users Liability Insurance Policy (TULIP) offered by Arthur J. Gallagher Risk Management Services
